These are the terms and conditions for all athletes booking on to a Swimrun Gower and Swimrun Coniston event. Please read through all parts carefully.

Booking Terms and Conditions
“Event” means the event name on the entry form.
“Event Fee” means the price of entry into the Event as set out in the entry form.
“Athlete” means the person named on the Entry Form who will be participating in the Event.
“Event Organiser” means Gritty Rascals Events Ltd.
“Event Information” means information provided by the Event Organiser in relation to the Event.
“Event Rules” means the official rules published by the Event Organiser and made freely available to all Athletes.
A. Overview
- The terms outlined here are generic (default) terms and conditions and any purchases or contracts undertaken by you with the Event Organiser may be subject to additional clauses and conditions, these are most often listed on the event website.
- By communicating or interacting with the Event Organiser or its customers, or by using facilities hosted or provided by the Event Organiser, you are agreeing to the conditions listed below.
- You give permission for your personal information to be processed for the purposes of event administration in line with the Event Organiser’s Privacy Policy, a copy of which is available on the Event website.
- These Terms supersede any and all other conditions, understandings, commitments, agreements or representations (except fraudulent misrepresentations) relating to your purchase or use of the Event Organiser’s websites, whether oral or in writing, and contain the entire agreement between the Event Organiser and you relating to your purchase or use.
- The Event Organiser does not accept liability (except as set out in these Terms and Conditions) for any errors and omissions and reserves the right to change information, prices, specifications and descriptions of listed goods, products and services.
- The Event Organiser advises that you print off and keep safe a copy of these terms and conditions once your order has been accepted by the Event Organiser.
B. Booking
- There is a 24hr cooling off period post event purchase, within which you can cancel your event entry and receive a full refund. The only exceptions to this are if you (a), purchase an event entry and then event capacity is reached within the 24hr period or (b), the booking window closes within the 24hr period.
- After this your entry will be subject to the Refund Policy below. When we offer the ability to change or amend bookings, as we may do from time to time, we do so at our discretion and this facility may be taken away at any time and with no warning.
- You understand that athletes must be at least 18 years old on the day of the Event.
- The Event Organiser reserves the right to refuse or reject an entry from an Athlete for any reason (including, but not limited to, anyone declaring false information on their entry form, not making the required payment, or otherwise failing to meet the stated entry requirements). Where this happens after the entry had been made and paid for, the Event Organiser will refund the Event Fee in full minus any Event Fee processing and admin costs.
- As Purchaser: by purchasing an event entry it becomes your responsibility to ensure the following regarding the actual Athlete (whether the Athlete is yourself or another individual, or if the event entry is transferred to a currently unknown individual at a later date):
- You accept that you will not transfer, assign, resell or give an event entry to another individual, without first obtaining and retaining written proof that the person(s) concerned have signed and dated a statement confirming that they have read and agreed to the Event Organiser’s Terms and Conditions (outlined here).
- You accept that it is your responsibility as Purchaser, when allocating an event entry to another individual, that they update their online Event profile (each and every time) with up-to-date contact info, ICE (In Case of Emergency) contact, and medical conditions.
- As the Athlete: It is your responsibility to give us up-to-date contact info, ICE (In Case of Emergency) contact, and medical conditions every time you are allocated onto an event. This must be done by emailing us at info@grittyrascals.com
- As a Purchaser and / or Athlete you must check for updates and changes to the T&Cs on a periodic basis, particularly if the event is a long time in the future.
- You may change your entry up to 30 days before the event, and this must be done in writing (email only) to the Event Organiser with full details (info@grittyrascals.com). This will be subject to any increases in the Event Fee, plus a £15 admin fee (which must be paid and received by the Event Organiser prior to the changes being made). Examples include:
- Change from a Solo Entry to a Team Entry (where applicable).
- Change (with express permission of the Event Organiser) in the name and other details associated with an entry.
- Change from Sprint to Gritty or to Full course.
- Arriving at the event in good time is your responsibility. The Event Organiser may refuse your participation in the event if you do not arrive within the publicised times. You acknowledge that getting to and from the event safely is your responsibility. The Event Organiser will not be held responsible for speeding or dangerous driving or incidents occurring on public transport. We advise that you arrive at an event the day before it starts, and leave the day after it finishes; this will enable you as an Athlete to perform at your best and will enable you to have adequate rest after the event before leaving the local area. If you cannot make such provision of time, you agree to use a driver, taxi or mode of public transport.
- Minimum numbers: Due to the costs of safety cover, the Swimrun Gower Full course event will only go ahead if a minimum number of 25 participants have signed up by the 31st January 2026. We will keep all Full course participants updated with numbers. If we do not meet this minimum threshold then we will need to make the decision as to whether postponing this race distance until 2026 would be the best course of action. All participants signed up at this stage, if postponed, will have the choice of a full refund or join the Gritty or Sprint event with a pro rata refund.
C. Event Format
- The Event Organiser reserves the right to change the date, timings, or location of the event, or alter the race format and/or duration on a particular date if the weather or water body conditions are deemed unsafe by the Event Organiser and/or their advisors. In the case of withdrawal of access permissions, the right is reserved to alter courses from the published ones. In the event of a change to the published race format, the Athletes will be notified of the revised race structure with as much notice as reasonably practicable. No refunds will be made in these circumstances.
D. Event Course
- The courses used by the Event Organiser are not used solely by Athletes, but open to the general public. By participating in an event you acknowledge this fact, and will take adequate care and attention when participating. You also acknowledge that the public you encounter may not be aware of the event, and as such you will participate in the event at a speed such that you are always in control or both yourself and any equipment you may be using.
- The courses are tough in nature, and any cut off times established for the event are there as a safety precaution for Athletes. Athletes may be instructed to withdraw from the event in accordance with imposed cut off times. No refunds will be offered in this situation. If you feel you cannot make a cut-off time then you should not over exert yourself but stop and phone for help or continue in a comfortable steady fashion until taken off the course by marshals. No refunds will be offered in this situation.
- Any Event Crew member may ask you to leave the course or event at any time, and need not specify a reason.
- As an Athlete, you confirm that you will write down and take with you on the event, the event director’s phone number. The event director’s phone number is always available before each event.
- As an Athlete, you acknowledge that courses may be laid several days before the event, and as such tampering may occur. It is therefore advised that you always proceed with caution and within your limits. If you are in any doubt with regards to a route choice we advise you to seek shelter and call for assistance.
E. Event Safety
- You understand that you are responsible for your own training for the Event. By entering the Event you acknowledge that you are fit and medically able to participate in the Event and have obtained appropriate medical advice and clearance to participate in such a physically demanding event.
- You are participating in the Event entirely at your own risk and responsibility and understand the risks posed by participation which include, but are not limited to, injury, loss or damage caused by exceeding safe physical exertion threshold suitable for each Athlete, other runners, swimmers, spectators, volunteers, vehicular traffic, water craft, weather and course conditions, equipment, litter and other items.
- By participating, you accept that it is your responsibility to keep yourself and / or your team safe. You understand that the Event Organiser will not always know your location during an event, and you accept that it is your responsibility for ensuring the Event organiser knows your location in the event of an incident. You accept that a rescue may be inherently dangerous, and by seeking / accepting assistance you accept the risks involved.
- If at any time you have to retire from an event, you accept that it is your responsibility to inform the event director, both asap (by phone – NB you must receive a reply acknowledging that your message has been received) and ASAP in person / via an Event official wearing a Gritty Rascals Events branded high vis top (N.B. this does not include subcontractors). You are required to immediately return in person to the event base, or go to the nearest marshalled checkpoint. You accept that failure to do this means that you will be fully liable for the cost of any rescue operation – be that by the Event Organiser or a subcontractor, or an external body (e.g. Coastguard).
- If you are injured or taken ill or otherwise suffer any detriment whatsoever you hereby irrevocably authorise the Event officials and organisers, at your risk and cost, to transport you to a medical facility and/or to administer emergency medical treatment and you waive all claims that might result from such transport and/or treatment or delay or deficiency therein and shall pay or reimburse to the Event Organiser your medical and emergency expenses and you hereby authorise the Event Organiser to incur the same and shall provide to the Event Organiser such medical data relating to you as they may request. You agree that nothing herein shall oblige the Event Organiser or any other person to incur any expenses or to provide any transport or treatment.
- MP3 players, iPods and similar audio devices are not permitted during a Swimrun race (all phases/sections).
- The events organised by the Event Organiser may be based at or associated with establishments which sell alcohol. The Event Organiser does not condone consumption of alcohol at any time. You agree that you will not drink alcohol within 24hrs of your event start time. You agree that you will not drink and drive following an event and you acknowledge that you are aware that having taken part in an event your tolerance to alcohol may be diminished.
F. Insurance
- All Athletes must have adequate medical, travel and personal liability for the event. Taking part in an event is an uninsured activity and an Athlete’s actions are their own responsibility. By purchasing an entry place on one of our races, you are confirming that you have or will have adequate insurance cover for the event.
- As purchaser, you confirm that you will not assign the event entry to an individual until you have confirmed that they have adequate personal liability cover for the event.
- You understand that you must ensure your insurance cover extends to include your equipment whilst taking part in the Event and the Event Organiser cannot accept any responsibility for loss or damage.
G. Medical Conditions
- It is your responsibility to keep your medical conditions up-to-date, now and on a continued basis. This must be done by emailing us at info@grittyrascals.com
- If you have any technical difficulties in achieving this, you must contact us immediately. You also acknowledge that If you have any medical conditions, or develop any prior to the event, you will seek a full medical examination by your doctor before undertaking the event.
- The events organised by the Event Organiser are tough by nature. If you feel unwell or believe you are not fit enough to undertake the event, then you must not participate. If you have already started the event, you must stop immediately and call for assistance.
- As an Athlete, you acknowledge that the courses are remote and that medical help provided by the Event Organiser or a 3rd party may take considerable time to reach you.
H. Personal Belongings
- Any personal belongings brought to an event are left entirely at the Athlete’s own risk – this includes designated bag drop areas. Athletes are advised to bring only limited valuables to events and, if necessary, leave them with an event official for the duration of the event. Due to the nature of the events, not all baggage or equipment can be kept secure at all times.
I. Media
- Photos of you may be published online. Photos of the Event will be published online, and viewable publicly. If you do not wish to have your photos to be displayed publicly, you must inform us a minimum of two weeks before the event date in writing and receive a confirmation or receipt.
- By attending an event organised by the Event Organiser, you give your express consent to your actual or simulated likeness being included within any film, photograph, audio and/or audiovisual recording to be exploited in any and all media for the purpose at any time throughout the world. The copyright to which shall be owned by the promoter or its contractors without payment or compensation.
- Where possible you may be filmed using drones (UAVs – Unmanned Aerial Vehicles). We ask that you please comply with any instruction given to you by a member of the Event Crews or the UAV operators. By attending the Event you consent to being filmed and agree to cooperate fully with instruction. All operation of aerial equipment is undertaken by fully qualified pilots. UAVs may fly in close proximity to Athletes if the pilot feels it is safe to do so. If you have any queries regarding the filming of the Event or the UAV equipment please contact a member of the Event Organiser’s team.
J. Rules, Guidance and Competencies
- Unless otherwise notified by the Event Organiser you understand that the conditions of participation in the Event are subject to fully complying with the Event Rules.
- Rules and guidance vary depending upon the event in question, the event location and the numbers of Athletes taking part – as well as other factors. As such the points below are a summary of general points regarding all events. Event Specific rules and guidance are provided at the mandatory Event Safety Briefings, which are typically provided a short time before the start of an event.
- Kit & Equipment
- Specified kit and equipment must be carried at all times. It may not be possible to check all Athletes’ equipment before undertaking an event, and as such it is the Athlete’s responsibility to procure equipment and if in any doubt speak to the event director prior to the event. Failure to carry mandatory kit and equipment will result in immediate disqualification, it is irresponsible and not only puts your own safety at risk but those around you. The standard kit list for an event can be found, or will be linked from, an event’s webpage or manual.
- I understand that un-returned race vests may incur a reasonable replacement cost, where relevant.
- Timing
- Visiting CPs (Check Points) remains the responsibility of the Athlete – whether they be manned or unmanned. Failure to visit CPs correctly results in automatic disqualification from the event.
- Cut Offs
- The Event Organiser sets specific cut off times as they see fit as part of the Event Rules, being limits on the time taken to complete sections of the Event (as initiated by the Event Organiser at its discretion) to ensure the safe and proper running of the Event. Subsequently, Athletes may be instructed to withdraw from the Event in accordance with imposed cut off times.
- If you miss a cut-off you may be allowed under certain circumstances to continue. By doing so you acknowledge that there may not be medical cover in place for the remainder of your event.
- Results
- The Event Organiser will use best endeavours to provide an Event finish time for the Athlete however it cannot be held responsible for any computer result anomalies or any technical malfunctions.
- Results will be published online, and viewable publicly. If you do not wish to have your name listed publicly, you must inform us a minimum of two weeks before the event date in writing and receive a confirmation or receipt.
- Any anomalies or queries of an event’s results will only be investigated and amended 36 hours after the results have been published online.
- Prizes & Gifts
- Prizes will be awarded at the discretion of the Event Organiser; there will be no cash alternatives. Please see the event webpage or manual for information about how we divide up the prize pool and our age category bands [NB ages are taken from either your age as of the event day, or in regards to events within a series your age may be taken from the date of the first event within that Series – whether you are taking part in multiple events or not].
- Failure to collect event gifts (i.e. t-shirts, prizes) at an event, or failure to attend an event, is the registered Athlete’s responsibility. Gritty Rascals Events Ltd will not post event gifts to you after the event.
- The Event Organiser’s decisions are final in all circumstances. The Athlete shall not be entitled to a refund of the Event Fees if he or she is disqualified from the Event as a result of an infringement of these Conditions or any such rules and regulations. The Event Organiser is also entitled to impose Event rules upon the Athlete from time to time which will form part of these Conditions.
- All decisions and rulings by the Event Organiser, its employees and its agents are considered final. Accordingly, you will comply with all Event Rules and all instructions and guidelines given by Event marshals and safety personnel. You acknowledge and agree that the Event Organiser will organise and run the Event and will have sole authority and be the final arbiter on all decisions relating to the safety, running and organisation of the Event, the rules of the Event, the timings/finish times and the placings.
K. Athlete Withdrawal And Refunds
Swimrun events incur upfront fixed and variable costs for permissions, the use of venues and services to ensure the safety of athletes.
- We do not offer refunds but we recognise that there are many reasons Athletes may need to withdraw for reasons beyond their control. We strongly recommend all Athletes take out their own appropriate insurance.
- If you need to withdraw from the Event you must notify the Event Organiser prior to the Event by sending an email to info@grittyrascals.com.
L. Event Cancellation (by the Event Organiser)
- Where an event is cancelled or changed because of adverse weather or other factors outside of the Event Organiser’s reasonable control (force majeure), the Event Organiser will make every reasonable attempt to reschedule the Event. Athletes will have their entry automatically transferred unless they advise the Event Organiser that they do not wish to transfer to the rescheduled event in writing (email to info@grittyrascals.com) within 7 days of the original event date.
- In the event of cancellation by the Event Organiser, Athletes, at the sole discretion of the Event Organiser, will be offered either a new date in the same year, a transfer to another event (if that Event Fee is more than the original Event, you must pay the difference) or the maximum possible refund, less any reasonable unrecoverable expenses. The Event Organiser shall not be liable to pay any compensation for any personal costs incurred by the Athlete.
- No refunds will be granted after one month has passed from the event date.
M. Governing Law
- This Agreement shall be governed by and interpreted according to the law of England and Wales and all disputes arising under the Agreement (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the English and Welsh courts.
